This Privacy Policy describes how Hawk Ranch ("Hawk Ranch", "we", "us", or "our") collects, uses, and protects information when you inquire about, book, or attend a wedding, event, or farm tour at Hawk Ranch in Murrieta, California. We do not sell your personal information, and we do not share it for third-party advertising.
1. Information we collect
1.1 Booking contact information
When you inquire about or book an event, we collect the name, email address, and (optionally) phone number of the couple, planner, and anyone else designated as a contact on the booking. We use this to coordinate your event, send confirmations and receipts, and answer your questions.
1.2 Guest list & RSVP information
If you use our RSVP tool to invite guests to your wedding website, we store the names, attendance status, meal choices, and any notes your guests submit when they RSVP. This information is provided by your guests directly and is used to help you and our team plan catering, seating, and logistics for your event.
1.3 Booking and event details
We store the details of your event — date, guest count, the spaces and packages you've booked, your event schedule, and any notes or documents (contracts, proposals, floor plans) associated with your booking.
1.4 Payment information
Payments are processed by Stripe. Your card or bank account number is entered directly with Stripe and is never stored on or visible to Hawk Ranch's systems. We retain only what we need to manage your booking — for example, payment status and a Stripe reference.
1.5 Messages
When you email us or message us through your wedding website or guest portal, we store those messages so our team can respond and keep your conversation history available to you.
1.6 Automatically collected information
We collect standard request logs (IP address, device/browser type, timestamp, and the action requested) for security, debugging, and abuse prevention. We do not deploy advertising trackers.
2. How we use your information
- Plan and run your wedding, event, or farm tour booking.
- Process payments and deposits through Stripe.
- Send you transactional messages — booking confirmations, payment receipts, RSVP confirmations, and tour reminders.
- With your ability to opt out at any time, send occasional post-event thank-you notes and review requests (see §6 below).
- Respond to your questions and provide customer support.
- Keep the service reliable and secure, and prevent fraud or abuse.
- Comply with applicable legal obligations.
3. How we share your information
Hawk Ranch does not sell your information and does not share it for advertising. We share information only with the service providers we rely on to operate our booking system, and only as needed to provide it:
- Stripe — payment processing. Card and bank details are collected and processed by Stripe under its own terms.
- Supabase— our database provider. Your data is stored in a Postgres database encrypted at rest and protected by row-level security so each booking's information is scoped to the right people.
- Vercel — application hosting. Vercel delivers our booking system and does not retain your data beyond standard short-lived request logs.
- Resend and Google (Gmail) — delivery of email (booking confirmations, receipts, RSVP confirmations, thank-you notes, reminders).
We may also disclose information when required by law, court order, or to protect against fraud or abuse, and in connection with a business transfer (such as a merger or acquisition), subject to this Policy.
4. Data retention
We retain booking and guest information for as long as needed to provide our services and for a reasonable period afterward for recordkeeping (for example, tax, accounting, or dispute-resolution purposes). If you ask us to delete your information, we will do so within a reasonable time, except where we are required to retain it for legal or accounting reasons.
5. Your choices and rights
Depending on where you live — including under the California Consumer Privacy Act as amended by the California Privacy Rights Act (CCPA/CPRA) — you may have the right to know what personal information we've collected about you, to request a copy of it, to request that we correct or delete it, and to opt out of certain uses. We do not sell personal information or share it for cross-context behavioral advertising. To exercise any of these rights, or to ask a question about your data, email contact@hawkranch.co. We will respond within a reasonable time. We will not discriminate against you for exercising your privacy rights.
6. Email & text message preferences
Every marketing, thank-you, or review-request email we send includes an unsubscribe link. Opting out stops those emails, but does not affect transactional messages tied directly to your booking (confirmations, receipts, RSVP notices) — those continue so you stay informed about your own event. If you provide a mobile number, we may send text messages directly related to your booking (such as confirmations and reminders); we will send marketing text messages only with your prior express written consent, which is never a condition of booking and which you may revoke at any time. Reply STOP to any text to unsubscribe or HELP for assistance. Message frequency varies and message & data rates may apply. You can also email contact@hawkranch.co at any time to update your preferences.
7. Security
We protect your information using industry-standard practices, including encryption in transit (TLS), encryption at rest in our database, row-level security on every table, and least-privilege access controls. No system is perfectly secure; in the event of a security breach affecting your unencrypted personal information, we will notify affected California residents without unreasonable delay, consistent with California Civil Code §1798.82, and will comply with all other applicable breach-notification laws.
8. Children's information
A wedding or event guest list may include the names of children (e.g., flower girls, ring bearers, young guests noted for meal planning). This information is provided by the adult booking the event or submitting an RSVP on a child's behalf, and is used solely for event planning (headcounts, seating, meals).
9. Changes to this Policy
We may update this Privacy Policy from time to time. The "Last updated" date above reflects the most recent revision.
